Your Freelancer Stopped Replying. What to Do, Day by Day

You sent the requirements. They said it would take four days. It has been six. Your last three messages are unanswered, and you are starting to wonder whether you have lost the money.

Almost everything written about this tells you to stay calm and communicate. That is not useful when the other party has stopped communicating. What you actually need to know is which clocks are running, which ones run against you, and the exact point at which you stop needing their cooperation.

Here is the timeline, drawn from Fiverr’s own documentation.

First: check the order status, not your inbox

Silence in messages tells you very little. The order status tells you everything, because it is what determines your rights. Open the order and look at the label at the top.

An order sitting in “Waiting for requirements” has not actually started. If you have not yet submitted your requirements, you can cancel immediately through the Resolution Center with no approval needed from anyone. Worth checking first, because people sometimes wait days for an order that never began.

The two labels that change everything

Late appears once the delivery time has passed. Nothing automatic has happened yet, but the seller’s on-time delivery metric is now taking a hit, which often prompts a sudden reply.

Very Late appears 24 hours after that. This is the one that matters. Once an order is 24 hours past its deadline with no delivery and no agreed extension, you can cancel it yourself through the Resolution Center, without the freelancer’s approval and without waiting for anyone.

So the honest answer to “how long should I wait” is: until 24 hours past the deadline. Before that, you are negotiating. After that, you are in control, and no amount of silence from them can stop you.

Before the deadline, use the update request

While the order is still processing, the Resolution Center has an option called “Get an order update.” It is a formal request attached to the order rather than another chat message, and it tends to get answered when messages do not, because it appears in the seller’s order queue rather than their inbox.

Use it once. Do not send seven messages. A record of one clear, reasonable request reads far better than a wall of increasingly worried ones if this ends up in front of Customer Support.

If they deliver something, a clock starts against you

This is the part that costs people money. Once a delivery is submitted, you have three days to accept or reject it. If you do nothing, the order completes automatically. Once complete, it cannot be canceled through the Resolution Center.

The counter almost nobody knows about: you can extend the review period yourself, up to five days at a time, without the freelancer’s approval, an unlimited number of times. If a delivery arrives and you are unsure about it, extend the review before doing anything else.

Watch for the empty delivery

A freelancer who is behind can stop the late clock by submitting a delivery that contains nothing usable: a blank file, a placeholder, a note saying more is coming. It resets the status and starts your three-day review countdown.

Fiverr treats this as a Terms of Service violation. Delivering empty or incomplete work to avoid a late delivery is explicitly against the rules and can put the account under review. If it happens to you, reject the delivery and say plainly that it was an empty delivery submitted to avoid a late mark.

What the Resolution Center is not

This is the single most expensive misunderstanding in this whole situation, so it is worth stating flatly.

Opening a dispute is a message to the other party. Customer Support is a separate route.

Fiverr’s help documentation states it directly: disputes opened in the Resolution Center are sent to the other party, and Customer Support is not notified of these requests.

Opening a dispute does not escalate anything to Fiverr. It sends a formal request to the person who is already ignoring you. Buyers routinely open a dispute, assume Fiverr is now handling it, and wait. Nobody at Fiverr is looking.

Customer Support becomes involved only when you contact them separately, which generally makes sense once a cancellation request has been declined, or when the order is completed and the Resolution Center is closed to you.

The 48 hour rule works in your favour

When you send a cancellation request, the freelancer has 48 hours to accept or decline. If they do not respond, the order is canceled automatically.

Against a genuinely absent seller, that silence is the outcome you want. The thing that has been frustrating you becomes the mechanism that resolves it. Send the request and let the clock run.

One constraint worth knowing: you cannot open a new dispute while another is open on the same order. If you have an update request sitting there, withdraw it on the order page before requesting cancellation.

The timeline, in order

  1. Check the status. Not started means you can cancel now.
  2. Before the deadline. One update request through the Resolution Center.
  3. Deadline passes. Status turns Late. Their metrics start to hurt.
  4. 24 hours after that. Very Late. You can now cancel alone.
  5. Send the cancellation. They have 48 hours. Silence cancels it.
  6. If declined. Now contact Customer Support with your message history.
  7. If something was delivered. Extend the review period first, then decide.

How to make it less likely next time

Long deadlines are where this happens. A fourteen-day delivery gives you no signal for two weeks. Splitting the same work into a first milestone at three days tells you within seventy-two hours whether this person is responsive, and it costs nothing to structure it that way.
